Hurix is the premier service provider of Project Management Service for reputed publishers in the market. We provide an end-to-end Project Management Service to journal and book publishers. From manuscript submission to publication on time, we ensure that the final output is of the highest standard and meets publishing guidelines. We believe that effective communication with the client and the internal stakeholders and a proper understanding of the project are key elements of project management.

We follow a five-phase Project Management Service life cycle.

Initiation

In the first phase, we meet the team and identify high-level project information. We believe in establishing strong relationships among the team during this phase to create a sense of togetherness and kick off the project on a strong note. In this phase, we undertake the following activities

  • Perform initial project assessment to understand project goals, constraints, and scope
  • Create a project charter
  • Project kick-off meeting –
    • Introduction of all team members
    • Review project goals
    • Review business case and project scope
    • Identify any high-level risks, assumptions, and/or constraints
    • Present project milestones

Planning

During this phase, our team works on a series of planning documents and activities that will be followed throughout the project life cycle. These documents will help guide the team while working on other phases of the project. The planning phase includes the following activities.

  • Project Management Plan
    • Communication Plan – We define who needs to receive project communications, the preferred communication method for the client, and the frequency of communication
    • Change Management Plan – We describe the process for changes being submitted, reviewed, scoped out, approved, and executed
    • Risk Management Plan – We maintain a risk register, create a risk matrix, and plan risk responses to handle risks that come up during the project life cycle
    • Quality Management Plan – We use this document to describe the levels of quality that all deliverables and processes are expected to adhere to
    • Budget Management Plan – This plan is used to describe how the project budget will be managed, what contingencies such as standard project contingency amounts will be in place, and how approved change requests will be financed.
  • Work Breakdown Structure – We break down the project scope into deliverable and work package level items to add further clarity to the project work
  • Project Plan/Schedule – We create a project plan that includes milestones, tasks, activity durations, start and finish dates, and resource assignments

Execution

In this phase, we manage all project work, project resources, and the project schedule. With our extensive experience in managing the execution of projects, we keep the project on schedule and within budget, while executing it most efficiently. 

During the project execution phase, we conduct regular project status meetings with the team to discuss project progress, distribute weekly status reports, and ensure that the project meets all quality standards.

Monitor/Tracking and Control

We continuously monitor and track the project progress to ensure that all defined plans and policies are being adhered to. Our team makes sure that all project deliverables meet the quality standards that are described in the quality management plan. All the change requests are documented in accordance with the process defined in the project management plan. Throughout the project life cycle, these activities are performed to ensure that the project progresses towards the stated goal.

Closure

As the final step in project management, we will lead the project closure process. We carefully go through this process and ensure that all documentation and artifacts are carefully constructed and maintained to guide future projects of a similar nature. 

Our project closure includes

  • Executing transition plan to transfer all knowledge to designated individuals to ensure a successful continuation of all project initiatives
  • Creating a lesson learned document to highlight what went well during the project and what could be improved in future projects
  • Archiving all project documents systematically
  • Receiving final sign-off on project work

Each project is handled by a dedicated project manager(s), who is well versed with publishing workflow, understands the project requirement, and applies their expertise to streamline the process. They liaise with the authors, editors, journal managers, freelancers, and internal production teams to ensure the customer expectations are met. Any scope of automation or other relevant steps are initiated and communicated with the client upon implementation. 

We recruit or select suitable in-house candidates to handle project management based on the size and scope of the project. Some of the important roles of a project manager are

Communication with the publisher

All production-related communication from the publisher is directed to the PM

Acts as a bridge between the publisher and the production team

Any queries raised by the production team will be liaised with the publisher

Sends the completed jobs by the production team to the publisher/author

Communication with the author

Sends proofs to the authors for review

Resolves queries raised by the production by liaising with the authors

Gets corrections back from the authors on time

Sends reminders to non-responding authors

Communication with Editorial proofreader (EPR)

Sends corrections received from the authors to the EPR

Resolves any queries raised by the EPR by liaising with the authors, publisher, and the production team

Gets corrections from EPR implemented by the production team
